Associate Research Administrator

Job Summary
The Associate Research Administrator plays a critical role in supporting faculty at the Price School by managing research proposal submissions and assisting with the post-award administration of grant accounts. The position requires exceptional organizational skills, attention to detail, and the ability to manage multiple complex projects simultaneously. Strong communication and interpersonal skills are essential for coordinating with various stakeholders and ensuring the timely and accurate completion of tasks related to research administration.

Key Responsibilities
  • Assist with the preparation and submission of proposals to a variety of sponsoring agencies, including federal, state, industry, and private foundations.
  • Prepare and review budgets, gather required documents, and coordinate with both internal and external stakeholders to ensure application completeness.
  • Review all sponsored project proposals for compliance, accuracy, and adherence to guidelines prior to submission for institutional approval.
  • Serve as a liaison between research units, central university offices, and external funding agencies.
  • Support Just-In-Time (JIT) requests, award setup, and review of Notices of Award (NOA), verifying account setup and compliance.
  • Proactively identify and resolve pre-award issues, collaborating with central university offices as needed.
  • Track and report data related to contracts, grants, expenditures, gifts, and endowments.
  • Manage a portfolio of post-award research accounts, ensuring proper spending and compliance with university and sponsor guidelines.
  • Coordinate research-related expenses such as salaries, travel, consultants, subcontracts, and tuition.
  • Educate principal investigators (PIs) and staff on university and sponsor policies for managing externally funded research.
  • Maintain and contribute to the development of a sponsored projects database; provide regular status updates and reporting.
  • Provide backup support to the Price Research Office as needed.
  • Perform additional research administration tasks as required.

Required Qualifications
  • Educational Background: Bachelor’s degree or equivalent combination of education and experience.
  • Experience: Minimum of 3 years in grant and contract administration, preferably within a university or research setting.
  • Project Management: Proven ability to coordinate and oversee multiple research projects.
  • Budgeting & Financial Management: Experience developing and managing complex project budgets.
  • Regulatory Compliance: Familiarity with institutional, federal, and sponsor-specific regulations related to research funding.
  • Communication Skills: Excellent written and verbal communication abilities.
  • Technical Proficiency: Strong computer skills, including proficiency with Microsoft Word, Excel, PowerPoint, and Adobe PDFs.
  • Organizational Skills: Exceptional attention to detail and the ability to prioritize multiple tasks effectively.
  • Team Collaboration: Capable of working independently while also functioning collaboratively as part of a team.
  • Grant Preparation: Hands-on experience in preparing and submitting research grant applications.
Preferred Qualifications (if any)
  • Familiarity with institutional research systems, such as Cayuse, InfoEd, or similar platforms.
  • Knowledge of NIH, NSF, and other federal sponsor requirements.
Certifications (if any)
  • No certifications required. However, certification in research administration (e.g., CRA or CPRA) is a plus.
