Human Resource Coordinator

Job Summary:

The HR Compliance Generalist plays a critical role in ensuring that all employee records and compliance reports adhere to regulatory standards. This position supports the HR team in maintaining employee compliance with HR-related requirements, including health sanctions, licenses, certifications, and disciplinary records. The role also includes overseeing processes for visa/immigration/I-9 matters, coordinating employee record gathering for hospital surveys, and working with HR management to update workflows and policies. The HR Compliance Generalist serves as the key point of contact for various compliance-related activities and reporting within the organization.


Key Responsibilities:
  • Compliance Reporting & Documentation:
  • Ensure that all HR compliance reports are maintained, up to date, and completed in a timely manner.
  • Generate reports for upcoming licenses, certifications, and other compliance-related deadlines. Follow up with employees for any delinquencies or missing documentation.

Database Management & Record-Keeping:
Oversee and manage workforce databases to ensure compliance with all regulatory requirements, including employee licenses, certifications, and healthcare sanctions.
Maintain accurate records of employee disciplines and track any associated actions.

Employee Documentation & File Management:
  • Work with file clerks to gather necessary employee documentation for legal actions, management reviews, and employee requests. Finalize the process before submitting to the requestor.
  • Coordinate and finalize the gathering of all required employee records for hospital surveys.
  • Support HR management by ensuring the completion and follow-up on incomplete/delinquent performance reviews.


Visa/Immigration/I-9 Compliance:
  • Serve as the primary interface with the University on all visa, immigration, and I-9 matters, ensuring that all employee visa processing and updates are timely and compliant with regulations.


HR Policy & Workflow Support:
  • Collaborate with HR management to update existing HR policies and create new workflows for improving departmental efficiency.
  • Provide administrative support to leave of absence and workers’ compensation teams as needed.


Support HR Front Desk Operations:
  • Provide back-up coverage and break relief for the HR front desk, ensuring smooth operations in HR services.
  • Special Reports & Administrative Support:
  • Prepare special reports, charts, and spreadsheets as required.
  • Support other compliance-related duties as assigned.

Qualifications:
Education:
  • Required: High School Diploma (HS).
Preferred:
Bachelor’s degree in a related field (e.g., Human Resources, Business Administration).


Work Experience:
Required: 
  • At least one (1) year of HR operations support experience.
Preferred: 
  • Experience working in a healthcare industry or similar regulated environment.


Knowledge, Skills, and Abilities:
  • Proficiency in MS Office Suite (Excel, Word, Outlook) and HRMS systems.
  • Strong verbal and written communication skills with the ability to interact with employees at all levels (from administrative staff to upper management).
  • Strong critical thinking skills with attention to detail and problem-solving capabilities.
  • Ability to communicate effectively with external stakeholders such as regulatory bodies, vendors, and surveyors.


Licenses/Certifications:
Required: 
  • Fire Life Safety Training (LA City). If no card upon hire, it must be obtained within 30 days and maintained before expiration (required within LA City only).


Preferred: 
  • HR Certification (e.g., PHR, SHRM-CP).


Job Accountabilities:
  • Ensure that all HR compliance reports, including employee licenses and certifications, are tracked, maintained, and up to date.
  • Oversee databases for employee disciplines and ensure proper documentation and tracking.
  • Follow up on delinquencies for licenses, certifications, and performance reviews.
  • Act as the main contact for visa, immigration, and I-9 compliance matters with the University.
  • Work with the HR management team to ensure the implementation of HR policy updates and improvements.
  • Provide backup support for HR Front Desk and assist with administrative tasks, including data entry and report generation.

Education: Bachelors Degree
