We are seeking a skilled and reliable Administrative Assistant to provide comprehensive support to our team, including floating responsibilities to San Jose sites as needed.
This role involves a wide range of administrative tasks, requiring strong organizational skills, attention to detail, and the ability to handle sensitive and confidential matters.
Key Responsibilities
Perform a variety of administrative tasks, including preparing correspondence, reports, and presentations.
Screen and route telephone calls and emails, resolving inquiries and escalating issues when necessary.
Schedule and maintain calendars, appointments, meetings, and travel arrangements, including coordinating related logistics.
Prepare and distribute meeting notes and action items, tracking task completion and reporting issues to management.
Assist with general office duties such as filing, ordering supplies, and reconciling expense reports.
Coordinate department meetings and events, ensuring all arrangements are effectively managed.
Provide support to executives, including the CFO and COO, as required.
Required Qualifications
Proven experience in an administrative support role.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent organizational and time management skills.
Ability to handle sensitive and confidential information with professionalism.
Preferred Qualifications
Experience supporting executive-level staff.
Familiarity with scheduling and meeting coordination in a corporate environment.
